WOCMES’ Book Exhibition aims to serve as a channel for the promotion of books and journals on the Middle East and North Africa and the impact of this region and its culture on other parts of the world. This Call for Book Exhibition and its regulations are intended to facilitate and ensure the normal development of the activity.

Participants

All those sectors of the book industry (publishers, libraries, university presses, etc.) specialized in the themes of WOCMES are invited to participate in the Book Exhibition.

Universities that aim to show their summer programs and to get in contact with other universities are also invited to WOCMES' University Event.

If the number of registered booths is higher than the available exhibition area, the booths will be distributed according to a strict order of entry.

The deadline for registrations is May 18th, 2018.

Without compliance with the aforementioned requirements, no registration will be valid for participation.

Booth rates

Single Booth: 500€ + 21% taxes.
(1,82 m W x 0,75 m D // 71.21 in W x 29,17 in D)

Double Booth 750€ + 21% taxes.
(3,64 m W x 0,75 m D // 143,5 in W x 29,17 in D)

Shared Booth fee: 100€ + 21% taxes.

Booth Equipment

Single Booths are supplied with 1 table, two chairs, 1 waste basket, and ID sign. Includes two individual registration (badges).

Double Booths are supplied with 2 tables, 4 chairs, 2 waste baskets, and two ID signes. Includes three individual registration (badges).

A service kit (with detailed instructions for shipping, electricity, Internet, furniture, etc.) will be emailed approximately 2 months prior to the event.

Two extra badges, maximum, are available and may be ordered at time of booth registration before May 18th, 2018. After this date, extra badges can be purchased at WOCMES’ registration desk during the celebration of the Congress.

Booth Use

Each exhibitor will occupy exclusively the interior space of his booth, not being allowed to occupy any other place outside the Book Exhibition, either as a sale or simple exhibition.

The user of the booth will respond to his condition at the end of the Book Exhibition, being obliged to replenish the material that suffers any type of deterioration from his account. Any physical modification of this space is prohibited.

For a better coordination of the Book Exhibition every exhibitor must communicate to the Organizing Committee, in advance of the beginning of the Book Exhibition, the publicity activities or special promotions that he/she intends to carry out, as well as book signing by authors, complementary activities, etc.

The WOCMES Book Exhibition Organizing Committee reserves the right to refuse any request for exhibit space, and the right to curtail any exhibit which does not conform to these regulations.

Lottery

Booths will be all initially assigned by Lottery within the category you have chosen. By submitting your booth registration form to the aforementioned email addresses in due time, you will automatically be entered into the Lottery, meant to give everyone an equal chance when it comes to the location of the booth in the floor plan.

Book Exhibition Hours

All exhibitors are required to remain open during Book Exhibition open hours, which will be the following:

Monday July 16 From 10 am to 19 pm
Tuesday July 17 From 10 am to 19 pm
Wednesday July 18 From 10 am to 19 pm
Thursday July 19 From 10 am to 19 pm
Friday July 20 From 10 am to 13 pm

Move in and move out schedule:

Move in Sunday July 15 From 10 am to 19 pm
Move out Friday July 20 From 1pm to 15 pm

Badge Policy

PLEASE NOTE: Only authorized persons WITH EXHIBITOR RIBBONS/BADGES are allowed into WOCMES Book Exhibition area during Exhibitor move-in day (Agreement of Terms, No. 6).

Badges will get you into all WOCMES functions. Your booth registration entitles you to complimentary badges: Single booth = 2 badges; Double Booth = 3 badges

Policy on exhibits, advertisements and sales

All items (namely books and audiovisual material) exhibited, advertised, and/or sold under the auspices of the WOCMES Book Exhibition must be of a nature that they can reasonably be related to the themes and disciplines of the Congress.

Non-liability clause. Security.

It is agreed that neither the Book Exhibition Organizing Committee nor the WOCMES Seville 2018 Secretariat nor any other organization or persons connected with this congress shall be liable or responsible for any loss, fire, theft, damage, or injury that may occur to the property of the exhibitor. Therefore, it is required that the interested parties cover their merchandise by insurance against this class of claims.

We ask that you be diligent at all times, especially during OPEN and if you are exhibiting expensive items. As an added measure, please consider removing rare or expensive items from your booth when the WOCMES Book Exhibition is closed.

Payment and cancellation policy

Method of payment is only via international wire transfer. 100% will be refunded if written notification is received by May 18, 2018 and the management expenses will be deducted of the entire booth rate. Cancellations received after this date are NOT eligible for refund.

Modification of the regulations

If the circumstances so require, the Organizing Committee reserves the right to modify the content of the regulations of this Call for Publishers, without the possibility of appeal by the exhibitors.

Advertising: Special Rate for Book Exhibitors

Exhibitors receive a 50% discount on advertising in the WOCMES Seville 2018 materials, distributed to up to some 2500 attendees and representatives of the media.
